Sync Between Macs

All data stays on your devices β€” nothing is sent to any external server. Export a sync file, let iCloud Drive or SharePoint sync it to your other Mac, then import it there.

One-time setup: In Safari β†’ Settings β†’ General, set your download location to your iCloud Drive or SharePoint folder. Then Export on Mac A β†’ iCloud syncs it β†’ Import on Mac B.

Backup & Restore

Download a full JSON backup of all data (pupils, assessments, interventions, SHANARRI, settings). Use Restore to load a previous backup β€” this overwrites current data.

How to use SfL Tracker. Click a section to expand it.

Cohort Tracker β–Ό

Add a pupil β€” click + Add Pupil. Fill in Known As, Surname, and SCN (Scottish Candidate Number) as a minimum. Use the ASL & Support tab to record LAC, ASN, EAL, support pathway, agency involvement, and active plans (PLP, IEP, CSP, CP).

Edit a pupil β€” click the pencil icon on the pupil row, or click the pupil's name to open their profile and edit from there.

Off-roll pupils β€” untick On Roll in the edit form. Off-roll pupils are hidden by default; tick Show off-roll in the filter panel to see them.

Filters β€” use the filter panel (year group, registration group, gender, SfL support level, LAC/ASN/EAL, SIMD, support pathway, plans, interventions) to narrow the table. Active filters are highlighted; click Clear to reset.

Bulk Edit β€” click Bulk Edit to tick multiple pupils and update their year group, registration group, or SfL support level in one step. Useful at start of session when pupils move year.

Printing β€” Print Table prints the filtered cohort view. Print All Profiles prints a one-page summary for every visible pupil.

Update Log β–Ό

Add an update β€” click + Add Update and choose a type:

  • Assessment β€” record a SWST A, SWST B, SWRT, or Baseline score. Standardised scores should be between 40 and 160. Scores are automatically colour-coded and appear on the pupil's profile and progress chart.
  • SfL Note β€” a free-text note about a pupil (e.g. observed difficulty, parent meeting, review outcome). Notes are appended to the pupil's profile for that year group.
  • Intervention / Support β€” record a specific intervention or support strategy being used.

Date β€” defaults to today. Change it to back-date an entry if needed.

Filtering β€” filter the log by pupil, type (Assessment / SfL Note / Intervention), date range, or keyword. The count at the top shows how many entries match. When a filter is active it shows X of Y updates β€” click Clear to see all.

Edit an entry β€” click the pencil icon on any log entry to correct a note or score.

Delete an entry β€” click the bin icon. You will be asked to confirm. Deleting an assessment entry also removes the score from the pupil's profile.

Pupil Profile β–Ό

Opening a profile β€” click a pupil's name in the Cohort Tracker, or use the Pupil Profile tab and select a pupil from the dropdown.

Score chart β€” shows all standardised scores across year groups as a line chart. Hover a point to see the exact score. The colour band (red / amber / green) shows whether the score is below average, average, or above average.

SfL Notes β€” cumulative notes for each year group, in date order. Edit the most recent note using the pencil icon in the Update Log.

SHANARRI β€” rate each of the eight wellbeing indicators (Safe, Healthy, Achieving, Nurtured, Active, Respected, Responsible, Included) using the traffic-light buttons. Ratings are saved automatically.

Interventions β€” view active and past intervention records for this pupil. Add a new one from the Interventions tab, or via + Add Update β†’ Intervention / Support.

Progress Goals β€” each intervention can have a target score and a review date. A coloured dot next to the review date shows whether it is upcoming (blue), due this week (amber), or overdue (red). A RVW badge appears on the pupil row in the Cohort Tracker when a review is due or overdue.

Print β€” click Print Profile to print a one-page summary for this pupil.

Assessment Scores & Colour Coding β–Ό

SfL Tracker uses three standardised assessments:

  • SWST A / SWST B β€” Schonell Word Spelling Test (Forms A and B)
  • SWRT β€” Schonell Word Reading Test
  • Baseline β€” any baseline score (0–100 scale; not colour-coded by band)

Standardised scores are colour-coded:

Below average (<85) Average (85–115) Above average (>115)

Valid range for SWST and SWRT is 40–160. The app will warn you if you enter a score outside this range.

Syncing & Backing Up β–Ό

All data stays on your device β€” nothing is sent to any external server. Data is stored in your browser's local storage.

Sync between Macs β€” use Export Sync File on Mac A. This downloads sfl-sync.json. Put that file in a folder synced by iCloud Drive or SharePoint so it appears on Mac B automatically, then use Import Sync File on Mac B. If the sync file is older than your current data the app will warn you before importing.

Backup β€” Download Backup saves a timestamped .json file with everything (pupils, scores, notes, interventions, SHANARRI). Keep a copy somewhere safe at the end of each term.

Restore β€” Restore from Backup loads a backup file and overwrites current data. Use this to recover from accidental data loss.

Export to Excel β€” produces an .xlsx file with separate sheets for the cohort, update log, and interventions. Use this to share data with colleagues or for reporting.

Data & Privacy β–Ό

SfL Tracker is designed to meet school data protection requirements:

  • All data is held in your browser's local storage on your own device β€” no pupil data is ever uploaded to any server.
  • Set an App Password in Settings to lock the tracker on load. Keep this password safe β€” it cannot be recovered, only reset by clearing all data.
  • Different schools using the same app URL each have their own completely separate data (local storage is per-browser and per-device).
  • Use Clear All Data at the end of the school year or if the device is being repurposed. This permanently removes all pupil records from that device.
  • Always keep a current backup in a secure location (e.g. a school-managed SharePoint folder).
